Job Description/Requirements

Responsibilities:

Financial Record-Keeping:

  • Maintain accurate and organized financial records, including data entry into accounting software or spreadsheets.
  • Ensure timely and accurate processing of invoices, receipts, payments, and other financial transactions.


Accounts Payable and Receivable:

  • Assist in accounts payable tasks such as processing vendor invoices, verifying accuracy, and preparing payments.
  • Support accounts receivable activities including issuing invoices, recording customer payments, and following up on overdue accounts.


Bank Reconciliation:

  • Perform regular bank reconciliations to match internal records with bank statements and resolve any discrepancies.


Payroll Assistance:

  • Assist in processing payroll information, including calculating wages, deductions, and preparing payroll reports.
  • Ensure compliance with payroll regulations and timely payment of employee salaries.


General Ledger Maintenance:

  • Assist in maintaining the general ledger by posting journal entries, reconciling accounts, and updating financial statements.
  • Help prepare and distribute financial reports as needed.


Expense Reports and Reimbursements:

  • Process and verify employee expense reports, ensuring adherence to company policies and timely reimbursement.


Financial Analysis Support:

  • Provide support in financial analysis activities, such as gathering data, preparing reports, and analyzing trends.


Audit Support:

  • Assist in preparing documentation and schedules for internal and external audits.
  • Ensure compliance with audit requirements and assist auditors during audit procedures.


Compliance and Documentation:

  • Ensure compliance with company policies, accounting principles, and regulatory requirements.
  • Maintain accurate records and documentation to support financial transactions and audits.


Communication and Collaboration:

  • Collaborate with colleagues within the accounting department and other departments to resolve issues and improve financial processes.
  • Communicate effectively with vendors, customers, and employees regarding financial inquiries and transactions.


Requirements:

  • High school diploma or equivalent; associate's degree or coursework in accounting is a plus.
  • Proven experience (typically at least 1 year) in an accounting or finance-related role.
  • Strong proficiency in accounting software (e.g., QuickBooks, SAP) and MS Excel.
  • Basic knowledge of accounting principles and practices.
  • Attention to detail and accuracy in data entry and financial record-keeping.
  • Good organizational skills and ability to prioritize tasks effectively.
  • Strong communication skills and ability to collaborate with team members.
  • Ability to maintain confidentiality of financial information and exercise discretion
