Responsibilities:
Administrative Support:
- Provide administrative assistance to the executive team and other departments as needed. Oversee and achieve organizational goals while maintaining an efficient, productive, positive office culture and employee experience.
- Communication: Provide front-desk coverage by managing a busy, multi-line phone system, greeting guests as they enter the office, and managing incoming/outgoing mail and shipments, as well as other correspondence.
- Scheduling/ Meeting Coordination: Organize and schedule meetings and appointments, maintain the corporate calendar, and book meeting rooms, including setting up presentations and equipment.
- Documentation: Prepare and distribute emails, memos, letters, faxes, and forms.
- Record Keeping: Maintain contact lists and manage office files and records. Review and update office policies as needed. Manage essential and confidential company documents.
- Facility Management: Manage company facilities, including space planning/design and office functions and services. Control and organize facilities supply stock.
- Data Entry: Enter data accurately into databases and maintain records.
- Travel Arrangements: Coordinate domestic and international travel arrangements for employees.
- Event Planning: Assist in preparing the company's in-house and external events and functions.
- Reporting: Produce and distribute reports, spreadsheets, and presentations with statistical data as assigned.
- Customer Service: Provide general support to visitors and act as the point of contact for internal and external clients. Serve as primary liaison between company staff and building managers, providing information, answering questions, and responding to requests.
Requirements:
- Bachelor's degree or equivalent experience preferred.
- Must be highly proficient in MS Office Suite and other relevant software applications. With advanced skills in MS Excel, preparation of PowerPoint presentations, calendar management, email correspondence, and document preparation
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Strong attention to detail and accuracy.
- Discretion and confidentiality in handling sensitive information.
- Ability to multitask, prioritize tasks effectively, and meet tight deadlines in a high-pressure environment.
- Ability to work independently with minimal supervision while also functioning effectively as part of a multinational, collaborative team
- Flexibility and adaptability to changing priorities and requirements, with a positive attitude and willingness to take on new challenges.
- Previous experience in the Energy Services & Technology industry and a passion for growth is highly desirable.
