Job Description/Requirements
Responsibilities:
- Act as the primary point of contact between the foundation and external agencies, institutions, and stakeholders.
- Organize and facilitate meetings, conferences, and special events as required.
- Maintain professional and effective communication via emails, calls, and written correspondence.
- Ensure proper documentation, filing, and secure storage of records, reports, and sensitive information.
- Maintain updated databases and retrieve relevant information as needed.
- Schedule, coordinate, and document meetings with key stakeholders.
- Prepare and circulate minutes, ensuring follow-ups on agreed action points.
- Draft and review letters, memos, reports, and other official documents.
- Ensure professional and polite communication with internal and external stakeholders.
- Monitor and oversee office equipment usage across departments.
- Maintain inventory control and oversee requisition of office supplies, ensuring procurement approvals from both the Administrative Coordinator and the COO before purchases.
- Supervise the daily management and maintenance of office facilities and equipment to ensure functionality.
- Work closely with the Facility Officer to ensure daily routine checks and periodic maintenance of equipment for optimal performance.
- Ensure adherence to Quality Management and Occupational Health and Safety (OHS) standards.
- Support compliance with applicable regulations related to assigned duties and operational processes.
- Perform any additional job-related responsibilities assigned by the foundation to support administrative and operational functions.
Requirements:

- Degree in a related field
