Job Summary

The Administrative Secretary is responsible for providing administrative support to the executive team and the organization. The successful candidate will have excellent communication and organizational skills, be proactive in managing schedules, and have experience supporting senior-level executives.

Job Description/Requirements

Responsibilities:

  • Manage and coordinate the executive team’s calendars and schedules, ensuring efficient time management.
  • Handle calls, messages, and correspondence, responding promptly or redirecting as necessary.
  • Develop and maintain effective filing, record-keeping, and organizational systems.
  • Make travel arrangements, including booking flights, hotels, and rental cars, and creating itineraries.
  • Prepare reports, presentations, and documents for meetings and executive briefings.
  • Schedule and organize meetings, including preparing agendas and taking minutes.
  • Maintain confidentiality and exercise discretion in handling sensitive executive matters.
  • Liaise with internal and external stakeholders, ensuring smooth communication within the organization.
  • Manage office supplies and equipment, coordinating with vendors when necessary.
  • Perform other administrative duties as required to support executive operations.


Requirements:

  • Minimum of HND/Bachelor’s degree in Secretarial Studies, Office Management Technology, Business Administration, or a related field.
  • Minimum of 2+ years of experience in an administrative or executive support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other administrative tools.
  • Familiarity with calendar management software and document organization systems.
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • High level of attention to detail and problem-solving skills.
  • Ability to work independently and handle confidential information with discretion.
  • Ability to prioritize tasks and work efficiently in a fast-paced environment.
  • Strong time management skills and ability to meet deadlines.
  • A proactive and solution-oriented approach to administrative tasks.
