Job Summary

We are seeking an entry-level Administrative Secretary to join our subsidiary in the education sector, a start-up after-school lesson academy. The ideal candidate will support the day-to-day administrative tasks of our academy, ensuring smooth operations both in-person and online. This role requires someone who is organized, tech-savvy and has excellent communication skills.

Job Description/Requirements

Responsibilities:

  • Ensure adequate power supply in the office, including managing and operating a generator as needed.
  • Oversee office utilities such as paying bills, managing cleaning, and addressing maintenance issues for a small office.
  • Assist with setting up and managing Zoom sessions and coordinating virtual lessons.
  • Help troubleshoot computer networking and internet issues for staff, teachers, and students.
  • Provide technical support to teachers during online teaching sessions, assisting with computer setup and addressing internet connectivity issues.
  • Respond to inquiries from prospective parents and students through email, phone, and social media channels.
  • Handle basic social media marketing efforts to promote the academy’s programs and events.
  • Prepare and disseminate meeting agendas, take minutes, and maintain accurate records.
  • Organize and update the academy’s information system, ensuring data is easily accessible and up-to-date.
  • Assist with the orientation of new students, families, and teachers, providing necessary guidance and support.
  • Manage the academy’s supplies and inventory of materials.
  • Provide reports on office management and operations to the business owner.
  • Facilitate administrative duties such as file organization, data storage, and document creation.


Requirements:

  • Capability to manage office operations, including ensuring power supply, paying bills, and handling maintenance issues.
  • Experience with social media and online communication is essential.
  • Ability to comfortably interact with parents, students, staff and teachers is essential.
