Job Summary
We are looking for a detail-oriented and proactive Assistant Procurement Officer to assist with the procurement activities of the organization. The Assistant Procurement Officer will support the procurement team in acquiring goods and services, managing supplier relationships, handling purchase orders, and ensuring compliance with procurement policies. The ideal candidate will have strong communication skills, attention to detail, and a good understanding of procurement processes.

Job Description/Requirements
Responsibilities:
Support Procurement Operations:
- Assist in the preparation and management of procurement documentation, such as purchase orders, contracts, and supplier agreements.
- Help in sourcing and evaluating suppliers to obtain the best value for the company.
- Follow up on purchase orders and ensure that orders are delivered in a timely manner.
Supplier and Vendor Management:
- Maintain an updated supplier database and assist with the onboarding of new suppliers.
- Communicate with suppliers to obtain quotes, negotiate terms, and resolve any issues related to deliveries, quality, or payment.
- Assist in maintaining good relationships with vendors and monitor supplier performance.
Inventory and Stock Management:
- Monitor inventory levels and assist with stock replenishment, ensuring optimal stock levels to avoid disruptions in operations.
- Coordinate with other departments to assess their procurement needs and ensure timely procurement of goods or services.
Market Research:
- Assist with market research to identify potential suppliers, products, and market trends.
- Help evaluate pricing trends, delivery options, and market conditions to optimize purchasing decisions.
Documentation and Reporting:
- Maintain accurate and organized procurement records, including purchase orders, contracts, invoices, and receipts.
- Prepare regular reports on procurement activities, budget tracking, and supplier performance.
- Ensure all procurement processes are well-documented and adhere to company policies.
Assist in Procurement Planning:
- Support the preparation of procurement plans, ensuring that purchasing needs are met efficiently.
- Assist in analyzing procurement data and identify opportunities for cost reduction or process improvement.
Compliance and Standards:
- Ensure all procurement activities comply with legal and company policies and regulations.
- Help ensure the accuracy and completeness of procurement documentation and contracts.
Requirements:
- Bachelor’s degree in Business Administration, Supply Chain Management, Procurement, or a related field.
- 1-2 years of experience in procurement, purchasing, or supply chain operations is preferred.
- Knowledge of procurement processes, purchase order systems, and supplier management.
- Strong communication and negotiation skills.
- Detail-oriented with strong organizational and time management abilities.
- Ability to work with procurement software and MS Office applications
