Job Summary

The Estate Officer will be responsible for overseeing the day-to-day management, operations, and maintenance of the facility/estate properties. This role involves liaising with tenants, contractors, and other stakeholders to ensure that properties are well-maintained, and any issues are resolved promptly. The Estate Officer also ensures that the estate complies with legal regulations and the property value is maximized through proper maintenance and tenant management.

Job Description/Requirements

Responsibilities:

  • Preparation of Service Charge Budget and accurate appropriation and posting of service charge expenses. (All expenditure items)
  • Prompt and regular preparation of Service Charge Account and prompt recovery of service deposit and or service charge debit balances.
  • Prompt and regular preparation of Estate and Tenants’ Records e.g. Schedule of Tenancy Anniversary and other related records.
  • Receive complaints from the tenants and initiate prompt treatment process of the complaints with the Maintenance Supervisor.
  • Analysis of Service Charge accounts or expenses for use as a tool for decision-making exercise.
  • Conducting on a regular basis, market surveys of prices of products and services deliverables by our contractors and suppliers including the maintenance staff for competitiveness.
  • Preparing a schedule of inventories at pre and post-vacancy levels, emanating from handing over of vacant flats and admitting new tenants into the flats.
  • Ensuring that flats are in a tenantable state and all facilities are functional and operating efficiently at optimal levels, at all times.
  • Monitoring and supervision of all contractors and suppliers including the maintenance staff in order to ensure that service level agreements are met; and products and services are satisfactorily delivered at approved cost, value, and time.
  • Ensuring that all operational processes are delivered in a safe, secured, and healthy/hygienic manner and environment.
  • Regular audit of all company facilities/assets and keeping and maintaining a reliable Facility/Asset Register.
  • Ensuring that good quality diesel and engine oil are supplied at approved quantity and price at all times.
  • Ensuring that the quality of water supply from the water treatment plant is up to WHO standards and that the water in the swimming pool is regularly treated to appropriate standards.
  • Promptly notify the Executive Director on the rents and service charge that are outstanding and tenancies that shall be falling due for renewal at least 3 months ahead of expiration.
  • Promoting cordial relationship amongst the Tenants and the Management by ensuring that complaints are attended to promptly and value for money are delivered to the Tenants by Staff Contractors and other Service Providers right on time.
  • Any other duties as may be assigned to you


Requirements:

  • Education: HND/B.Sc in Estate Management, Property Management, Real Estate, or a related field.
  • Experience: Minimum of 3 years of experience in estate or property management.
  • Knowledge: Familiarity with property management systems, local property laws, and regulations.


Skills:

  • Strong organizational and problem-solving skills.
  • Excellent communication and interpersonal skills for dealing with tenants, contractors, and stakeholders.
  • Ability to manage multiple properties and prioritize tasks efficiently.
  • Financial acumen for budgeting and rent collection.


Additional Requirements:

  • Understanding maintenance procedures and project management.
  • Strong attention to detail and a proactive approach to problem-solving.
  • Ability to work independently and as part of a team.


Work Conditions:

  • Ability to work flexible hours, including weekends and holidays, depending on business needs.
  • May require occasional travel for industry events, networking, or supplier meetings.
