Job Summary

The Events Manager is responsible for planning, organizing, and overseeing various events hosted by our company. The role involves coordinating with clients to understand their event requirements, budget, and preferences, and then conceptualizing and executing events that meet or exceed expectations. This includes managing logistical details such as venue selection, catering, decor, audiovisual equipment, and staffing. It must also ensure adherence to timelines and budgets. Throughout the planning process, the Events Manager serves as the primary point of contact for clients, vendors, and internal staff, providing exceptional customer service and troubleshooting any issues that may arise. The goal is to create memorable and successful events that leave a lasting impression on attendees and contribute to the overall success of the venue.

Job Description/Requirements

Responsibilities:

  • Meet with clients to understand their event needs, preferences, and budget, managing clear expectations for both sides
  • Develop comprehensive event plans, including timelines, budgets, and logistics, to ensure all details are organized and executed effectively
  • Identify and secure suitable event venues based on client requirements, negotiate contracts, and coordinate site visits as needed
  • Source and manage vendors such as caterers, decorators, entertainers, and audiovisual technicians, overseeing contracts, payments, and performance
  • Create and manage event budgets, tracking expenses and ensuring adherence to financial targets
  • Coordinate event logistics, including setup, teardown, transportation, and staffing, to ensure smooth operations on event days
  • Serve as the primary point of contact for clients, providing regular updates, addressing inquiries, and managing expectations throughout the event planning process
  • Oversee event setup and execution on-site, ensuring all elements are implemented according to plan and troubleshoot any issues as they arise
  • Identify potential risks and develop contingency plans to mitigate them, ensuring the safety and security of attendees and minimizing disruptions
  • Conduct post-event evaluations to assess the success of the event, gather feedback from clients and attendees, and identify areas for improvement in future events


Requirements:

  • Degree or certification in event planning, or related field
  • 5 years of work experience as an event manager or similar role
  • Proven experience in hosting live events
  • Outstanding customer service skills
  • Ability to think on your feet and problem-solve in stressful situations
  • Ability to source, negotiate with, and manage vendors effectively
  • Advanced skills in necessary computer programs such as CRM, inventory management, or similar
  • Good written and verbal communication skills
  • Ability to positively transform client's experience
  • Keen eye for detail to ensure events are executed to high standards
  • Previous experience in event planning, including conceptualizing, coordinating, and executing a variety of events
  • Capacity to remain calm and composed under pressure
