We are a fast-growing, seed-stage consumer startup looking for a highly organized and motivated Executive Assistant to work closely with our CEO. Our company thrives in a dynamic, fast-paced environment, and we’re searching for someone who can manage multiple responsibilities and support the CEO in driving key initiatives while managing day-to-day operations.
Position Overview
As the Executive Assistant, you will serve as a trusted partner, working directly with the CEO to support strategic planning, project execution, and organizational efficiency. In this role, you will oversee complex cross-functional projects, streamline workflows, manage communications, and ensure that the most critical business priorities receive the most attention. This is a unique opportunity to be at the center of a startup's growth, with direct exposure to all aspects of business operations.
Key Responsibilities
- CEO Support: Manage the CEO’s daily schedule, including meetings, calls, and travel, ensuring optimal use of time.
- Project Management: Coordinate and oversee key cross-functional projects, ensuring timelines, budgets, and deliverables are met. This includes assigning tasks, tracking progress, and troubleshooting issues as they arise.
- Strategic Planning: Assist the CEO with strategic initiatives by conducting research, gathering data, and preparing briefs, presentations, and reports to support decision-making.
- Liaison Role: Act as a bridge between the CEO and internal teams or external stakeholders to ensure smooth communication and follow-through on strategic initiatives.
- Administrative Oversight: Handle administrative tasks such as expense reporting, travel arrangements, meeting logistics, and document organization to ensure smooth business operations.
- Confidentiality and Discretion: Manage sensitive information with the utmost confidentiality and professionalism.
- Process Improvement: Identify and implement process improvements to streamline workflows and enhance the company’s efficiency.
- Event and Meeting Coordination: Organize executive-level meetings and events, ensuring proper preparation, follow-up, and execution.
- Experience in project management, executive assistance, or similar roles, ideally within a startup or fast-paced environment
- Strong organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines
- Excellent written and verbal communication skills
- High level of proficiency in project management tools and office software. The specific tools are Slack, Notion, Claude/ChatGPT, Loom, and Google Suite
- Ability to handle confidential information with discretion
- Problem-solving mindset and a proactive attitude
- Ability to thrive in a fast-paced, rapidly changing environment
- Ability to decipher instructions from a video recording
- Ability to communicate clearly through a video recording
- Ability to follow directions with attention to detail
- Ability to leverage AI tools
- Ability to document work and create SOPs
