Job Description/Requirements
Responsibilities:
- Organize and coordinate executive calendars, scheduling meetings across time zones, prioritizing tasks, and rescheduling when necessary.
- Serve as the main point of contact for internal and external communications on behalf of the executive team, managing email correspondence, phone calls, and inquiries.
- Assist in coordinating and managing cross-functional projects, ensuring deadlines are met and progress is communicated to stakeholders.
- Organize and book domestic and international travel including flights, hotels, and ground transportation. Ensure all travel documentation and itineraries are properly prepared.
- Prepare reports, presentations, and meeting summaries, often working with sensitive and confidential information.
- Organize events, team meetings, and executive functions, including preparing agendas and materials.
- Track, submit, and reconcile executive expenses and manage any related reporting.
- Support executives with day-to-day administrative tasks, ensuring smooth office operations.
- Flexibly handle unforeseen projects and tasks as assigned by senior leadership.
Requirements:
- Bachelor’s degree in Business Administration or a related field preferred.
- 2-3 years of experience in an administrative or executive assistant role, ideally in a tech or fast-paced environment.
- Proficient in Microsoft Office Suite and Google Workspace.
- Exceptional verbal and written communication skills.
- Proven ability to prioritize tasks and meet deadlines.
- Experience handling confidential information with discretion and integrity.
- Strong interpersonal skills and the ability to work across departments.
