Job Summary

We are seeking a dedicated and organized Executive Assistant to support our executive leadership team. The ideal candidate will play a critical role in managing day-to-day executive operations, allowing the leadership to focus on strategic initiatives.

Job Description/Requirements

Responsibilities:

  • Organize and coordinate executive calendars, scheduling meetings across time zones, prioritizing tasks, and rescheduling when necessary.
  • Serve as the main point of contact for internal and external communications on behalf of the executive team, managing email correspondence, phone calls, and inquiries.
  • Assist in coordinating and managing cross-functional projects, ensuring deadlines are met and progress is communicated to stakeholders.
  • Organize and book domestic and international travel including flights, hotels, and ground transportation. Ensure all travel documentation and itineraries are properly prepared.
  • Prepare reports, presentations, and meeting summaries, often working with sensitive and confidential information.
  • Organize events, team meetings, and executive functions, including preparing agendas and materials.
  • Track, submit, and reconcile executive expenses and manage any related reporting.
  • Support executives with day-to-day administrative tasks, ensuring smooth office operations.
  • Flexibly handle unforeseen projects and tasks as assigned by senior leadership.


Requirements:

  • Bachelor’s degree in Business Administration or a related field preferred.
  • 2-3 years of experience in an administrative or executive assistant role, ideally in a tech or fast-paced environment.
  • Proficient in Microsoft Office Suite and Google Workspace.
  • Exceptional verbal and written communication skills.
  • Proven ability to prioritize tasks and meet deadlines.
  • Experience handling confidential information with discretion and integrity.
  • Strong interpersonal skills and the ability to work across departments.
