We seek a highly organized and proactive Executive Assistant to support the CEO in managing the daily operations, strategic initiatives, and administrative tasks. The ideal candidate will be a trusted partner, ensuring the CEO's time, resources, and priorities are optimized to drive business success.

Job Description/Requirements

Responsibilities:

  • Manage the CEO’s calendar, schedule meetings, and organize appointments efficiently.
  • Prepare and organize documents, presentations, and reports for meetings or events.
  • Handle correspondence on behalf of the CEO, including emails, letters, and phone calls.
  • Maintain a well-organized filing system for confidential and critical business documents.
  • Coordinate and follow up on key projects, ensuring deadlines are met and tasks are completed.
  • Monitor and report on the progress of business objectives as directed by the CEO.
  • Liaise with internal teams and external stakeholders to facilitate communication and collaboration.
  • Assist in preparing budgets, tracking expenses, and managing financial records.
  • Plan and coordinate travel arrangements, including flights, accommodation, and itineraries.
  • Organize events, meetings, and appointments, ensuring all logistics are handled smoothly.
  • Provide personal support to the CEO, such as running errands or managing personal appointments.
  • Maintain confidentiality and discretion in handling personal and professional matters.
  • Conduct research and provide insights on business trends, competitors, and industry developments.
  • Assist in drafting strategic plans, proposals, and decision-making frameworks.
  • Act as the primary point of contact between the CEO and clients, vendors, or partners.
  • Address customer or partner queries promptly and professionally.


Requirements:

  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • 3+ years of experience in an executive or administrative assistant role, preferably in a fast-paced environment.
  • Exceptional organizational and multitasking abilities.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
  • Ability to work independently with minimal supervision.
  • High level of discretion and confidentiality.
  • Strong problem-solving skills and a proactive mindset.
  • Professional, polished, and approachable demeanor.
  • Flexible and adaptable to changing priorities and schedules.
  • Strong attention to detail and accuracy.
  • A team player with excellent interpersonal skills.
  • Familiarity with the beauty or hospitality industry is an advantage.
  • Experience supporting C-suite executives or senior leadership.
  • Knowledge of project management tools and software is a plus.
