Job Description/Requirements
Responsibilities:
- Manage the CEO’s calendar, schedule meetings, and organize appointments efficiently.
- Prepare and organize documents, presentations, and reports for meetings or events.
- Handle correspondence on behalf of the CEO, including emails, letters, and phone calls.
- Maintain a well-organized filing system for confidential and critical business documents.
- Coordinate and follow up on key projects, ensuring deadlines are met and tasks are completed.
- Monitor and report on the progress of business objectives as directed by the CEO.
- Liaise with internal teams and external stakeholders to facilitate communication and collaboration.
- Assist in preparing budgets, tracking expenses, and managing financial records.
- Plan and coordinate travel arrangements, including flights, accommodation, and itineraries.
- Organize events, meetings, and appointments, ensuring all logistics are handled smoothly.
- Provide personal support to the CEO, such as running errands or managing personal appointments.
- Maintain confidentiality and discretion in handling personal and professional matters.
- Conduct research and provide insights on business trends, competitors, and industry developments.
- Assist in drafting strategic plans, proposals, and decision-making frameworks.
- Act as the primary point of contact between the CEO and clients, vendors, or partners.
- Address customer or partner queries promptly and professionally.
Requirements:
- Bachelor’s degree in Business Administration, Communications, or a related field.
- 3+ years of experience in an executive or administrative assistant role, preferably in a fast-paced environment.
- Exceptional organizational and multitasking abilities.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
- Ability to work independently with minimal supervision.
- High level of discretion and confidentiality.
- Strong problem-solving skills and a proactive mindset.
- Professional, polished, and approachable demeanor.
- Flexible and adaptable to changing priorities and schedules.
- Strong attention to detail and accuracy.
- A team player with excellent interpersonal skills.
- Familiarity with the beauty or hospitality industry is an advantage.
- Experience supporting C-suite executives or senior leadership.
- Knowledge of project management tools and software is a plus.
