Job Title: Executive Assistant to the CEO


Location: Block 111, Plot 26a Daniyan Natalia St, off Oladimeji Alo Street, Lekki Phase 1, Lagos 106104, Lagos


Work Schedule: Full time; Onsite 5 days a week (Saturday included), one remote day


Salary Range: ₦150,000 - ₦200,000 net (depending on experience)

Job Summary:

Hikky's Hair is looking for a highly organized, detail-oriented, and proactive Personal Assistant (PA) to support the CEO in daily administrative tasks and strategic initiatives. The PA will be instrumental in helping the CEO manage their schedule, coordinate internal and external communication, and streamline operations to ensure the efficient running of the business. The successful candidate will act as a key support figure, maintaining confidentiality and professionalism in all areas.

Key Responsibilities:

- Diary and Time Management:

Manage the CEO’s calendar, schedule meetings, and ensure all appointments are aligned with priorities.

- Communication Handling:

Serve as the first point of contact for both internal and external communications, screening calls, emails, and requests for the CEO’s attention.

- Meeting Coordination:

Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.

- Travel Arrangements:

Organize all travel logistics, including flights, accommodation, and itinerary planning, ensuring cost-efficiency and smooth execution.

- Document Management:

Draft, review, and organize documents such as reports, presentations, and internal memos on behalf of the CEO.

- Liaison with Key Stakeholders:

Act as a bridge between the CEO and other executives, employees, and external stakeholders to ensure smooth communication.

- Event Planning:

Assist in planning and coordinating special events, team-building activities, and corporate functions involving the CEO.

- Confidential Support:

Maintain a high level of discretion and confidentiality in handling sensitive matters and confidential information.

- Excellent Communication:

Strong verbal and written communication skills, with the ability to draft professional documents and emails.

- Organizational Skills:

Ability to manage multiple tasks simultaneously, ensuring all deadlines are met and operations run smoothly.

- Attention to Detail:

Strong attention to detail, ensuring accuracy in scheduling, documentation, and project management.

- Problem Solving:

Ability to quickly identify solutions to challenges that arise, offering proactive support to the CEO.

- Technical Proficiency:

Familiarity with office management tools such as Microsoft Office (Word, Excel, PowerPoint), Google Suite, and email communication systems.


- Time Management:

Demonstrated experience managing calendars, prioritizing tasks, and maintaining the smooth operation of an executive office.


- Adaptability:

Ability to adapt to a fast-paced environment, work well under pressure, and meet deadlines effectively.


- Confidentiality:

Strong ability to handle confidential and sensitive information with professionalism.

Work Schedule:

- Work Days: 6 days a week, including public holidays.

- Remote Day: One day a week (either Saturday or Sunday).

- Off Day: One weekday (Excluding Mondays).

- Resumption Time:

- Mondays: 8:30 AM (due to general meetings).

- Other Days: 9:30 AM - Till the last customer leaves (dependent on the day’s schedule).

Qualifications:

- Educational Background: Bachelor's degree in Business Administration, Management, or a related field is preferred.

- Experience: Minimum of 2-3 years of experience as a Executive Assistant or in a similar executive-level support role.

- Professionalism: A proactive approach with a can-do attitude and the ability to represent the CEO and company with professionalism.
