Job Description/Requirements
Responsibilities:
Administrative Support:
- Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and organize documents, reports, and presentations for meetings.
- Serve as the primary point of contact between the CEO and internal/external stakeholders.
- Screen, prioritize, and respond to emails, calls, and correspondence on behalf of the CEO.
- Maintain confidentiality and handle sensitive information with discretion.
Strategic Support:
- Assist the CEO in managing strategic initiatives and monitoring project timelines.
- Coordinate with department heads to ensure alignment with the CEO’s objectives.
- Prepare briefing materials and conduct research to support decision-making.
- Attend meetings with or on behalf of the CEO and provide detailed reports and action points.
Operational and Logistical Support:
- Oversee and coordinate logistics for events, conferences, and international business trips.
- Liaise with clients, partners, and regulatory authorities on behalf of the CEO.
- Anticipate and resolve operational challenges to ensure the CEO's productivity.
- Ensure all necessary resources and materials are available for the CEO’s activities.
Industry-Specific Responsibilities:
- Stay updated on trends, policies, and developments in the oil and gas sector.
- Collaborate with technical and legal teams to facilitate CEO decisions.
- Manage special projects related to corporate governance, compliance, or sustainability.
Requirements:
- Strong organizational and multitasking abilities.
- Proficient in business communication and negotiation.
- Advanced knowledge of Microsoft Office Suite and project management
- Excellent interpersonal and relationship-building skills.
- High emotional intelligence and cultural sensitivity.
- Ability to work effectively under pressure and tight deadlines.
- Understanding of the oil and gas sector, including industry-specific terminology.
- Familiarity with regulatory and compliance requirements in the energy sector.
- Bachelor’s degree in Business Administration, Energy Management, or a related field (an MBA is an advantage).
- Minimum of 3–5 years of experience in executive support, preferably within the oil and gas industry.
- Project management (PMP) or Executive Assistant certifications are advantageous.
- Proficiency in English (additional languages may be beneficial).
- Strong problem-solving and analytical skills.
- Highly adaptable and flexible to changing priorities.
