Job Summary

The Executive Assistant to the CEO in an oil company is a critical role, responsible for providing high-level administrative and operational support to the CEO while ensuring the smooth execution of daily activities. The role requires exceptional organizational skills, industry knowledge, and the ability to work in a high-pressure environment.

Job Description/Requirements

Responsibilities:


Administrative Support:

  • Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and organize documents, reports, and presentations for meetings.
  • Serve as the primary point of contact between the CEO and internal/external stakeholders.
  • Screen, prioritize, and respond to emails, calls, and correspondence on behalf of the CEO.
  • Maintain confidentiality and handle sensitive information with discretion.


Strategic Support:

  • Assist the CEO in managing strategic initiatives and monitoring project timelines.
  • Coordinate with department heads to ensure alignment with the CEO’s objectives.
  • Prepare briefing materials and conduct research to support decision-making.
  • Attend meetings with or on behalf of the CEO and provide detailed reports and action points.


Operational and Logistical Support:

  • Oversee and coordinate logistics for events, conferences, and international business trips.
  • Liaise with clients, partners, and regulatory authorities on behalf of the CEO.
  • Anticipate and resolve operational challenges to ensure the CEO's productivity.
  • Ensure all necessary resources and materials are available for the CEO’s activities.


Industry-Specific Responsibilities:

  • Stay updated on trends, policies, and developments in the oil and gas sector.
  • Collaborate with technical and legal teams to facilitate CEO decisions.
  • Manage special projects related to corporate governance, compliance, or sustainability.


Requirements:

  • Strong organizational and multitasking abilities.
  • Proficient in business communication and negotiation.
  • Advanced knowledge of Microsoft Office Suite and project management 
  • Excellent interpersonal and relationship-building skills.
  • High emotional intelligence and cultural sensitivity.
  • Ability to work effectively under pressure and tight deadlines.
  • Understanding of the oil and gas sector, including industry-specific terminology.
  • Familiarity with regulatory and compliance requirements in the energy sector.
  • Bachelor’s degree in Business Administration, Energy Management, or a related field (an MBA is an advantage).
  • Minimum of 3–5 years of experience in executive support, preferably within the oil and gas industry.
  • Project management (PMP) or Executive Assistant certifications are advantageous.
  • Proficiency in English (additional languages may be beneficial).
  • Strong problem-solving and analytical skills.
  • Highly adaptable and flexible to changing priorities.
