The Executive Secretary provides high-level administrative support to executives, ensuring smooth daily operations and effective communication. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Job Description/Requirements

Responsibilities: 

  • Manage executives’ schedules, including meetings, appointments, and travel arrangements.  
  • Prepare, edit, and distribute correspondence, reports, and presentations.  
  • Maintain confidential records and filing systems.  
  • Serve as the primary point of contact for internal and external stakeholders.  
  • Screen and prioritize emails, calls, and messages for the executive.  
  • Draft and proofread communications on behalf of the executive.
  • Organize and prepare for meetings, including agenda creation and material distribution.  
  • Record minutes and follow up on action items.  
  • Assist with planning and execution of special projects and events.  
  • Conduct research and provide data analysis as needed.  
  • Oversee office supplies, equipment maintenance, and vendor relations.  
  • Monitor budgets and expense reports.  


Requirements: 

  • Bachelor’s degree in business administration, management, or a related field (preferred).  
  • Minimum 2-3 years of experience as an executive assistant or in a similar role.  
  • Strong organizational and multitasking abilities.  
  • Excellent verbal and written communication skills.  
  • Proficiency in Microsoft Office Suite and other relevant software.  
  • Discretion and ability to handle sensitive information.  
  • Proactive and resourceful problem-solver.  
  • Professional demeanor and strong interpersonal skills.  
  • High level of attention to detail and accuracy.  
  • Minimum age of 25years 
  • Must reside in V.I and its environs
