Job Summary

Our client in the Manufacturing industry is looking to hire an Executive Secretary to the GMD. The ideal candidate will be responsible for monitoring shipments to ensure compliance with regulations, maintain customer relations, participate in the organization’s sales activities, and ensure the efficiency and effectiveness of imports and exports.

  • Minimum Qualification : Degree
  • Experience Level : Senior level
  • Experience Length : 5 years

Job Description/Requirements

Responsibilities:

  • Maintain executive’s agenda and assist in planning appointments, board meetings, conferences, etc.
  • Attend meetings and keep minutes
  • Receive and screen phone calls and redirect them when appropriate
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages, etc.)
  • Make travel arrangements for the GMD
  • Handle confidential documents ensuring they remain secure
  • Prepare invoices or financial statements and provide assistance in bookkeeping
  • Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders
  • Maintain electronic and paper records ensuring information is organized and easily accessible
  • Conduct research and prepare presentations or reports as assigned


Requirements:

  • 5 – 7 years of proven experience as an executive secretary or similar administrative role
  • Degree in business administration or any related field
  • Proficient in MS Office
  • In-depth knowledge of office management and basic accounting procedures as well as technical vocabulary of relevant industry
  • Familiarity with basic research methods and reporting techniques
  • Excellent organizational and time-management skills
  • Outstanding communication and negotiation abilities
  • Project management skills, like goal-setting, budget management, and planning
  • Great customer service and interpersonal skills


Location: Lagos

Remuneration: NGN 200,000 - 250,000 (Negotiable and commensurate with experience)
