Echelon Sports Agency is a dynamic startup in the sports industry, seeking a proactive and organized Administrative Assistant to support the day-to-day operations of the agency. The ideal candidate will manage administrative tasks, assist with client and athlete management, and ensure smooth communication between internal teams, clients, and partners. This role requires an adaptable individual who thrives in a fast-paced and evolving environment.

Key Responsibilities:

  • Manage daily office operations, including answering phone calls, responding to emails, and scheduling appointments.
  • Organize and maintain agency records, databases, and client information.
  • Assist in preparing reports, presentations, and meeting materials.
  • Handle expense tracking, budget management, and basic accounting tasks (e.g., invoicing, payments).
  • Serve as the primary point of contact for athletes, clients, and partners, handling inquiries and requests.
  • Assist in managing athlete contracts, scheduling, and travel arrangements (contract review only; agents handle actual contracts).
  • Ensure timely communication between agents, clients, and athletes regarding updates, meetings, and events.
  • Assist in planning and coordinating events such as press conferences, contract signings, and client meetings.
  • Book and manage travel arrangements, accommodation, and itineraries for athletes and staff.
  • Help organize promotional appearances, sponsorship activities, and networking events.
  • Facilitate internal and external communication, including drafting emails and correspondence.
  • Coordinate meetings, calls, and conferences, preparing agendas and minutes as needed (including managing the Echelon and TIMA Media calendars).
  • Help maintain the agency's social media presence and update website content.
  • Assist in recruiting, onboarding, and managing agency staff.
  • Handle HR-related administrative tasks such as timesheets, payroll assistance, and employee records.
  • Support marketing campaigns and business development initiatives, including client proposals and presentations.
  • Assist in managing relationships with sponsors, advertisers, and partners.
  • Maintain and track marketing materials, digital content, and outreach activities.
  • Help with logistics and ensure that the office or virtual workspace runs efficiently.
  • Work closely with the CEO/founder to provide operational and administrative support.
  • Take initiative on special projects and other tasks as needed by the management team.
  • Use SEO techniques to ensure Echelon’s online visibility and presence.


Qualifications:

  • 2+ years of experience in marketing and administrative roles, preferably in the sports or entertainment industry.
  • Strong organizational and multitasking skills, with the ability to manage competing priorities in a fast-paced environment.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools.
  • Experience with social media management and content updates.
  • Ability to handle confidential information with discretion.
  • Familiarity with basic accounting practices (invoicing, budget management) is a plus.
  • Knowledge of SEO and digital marketing strategies is highly desirable.
  • Proactive, adaptable, and able to work independently or as part of a team.
