Job Description/Requirements
Responsibilities:
- Serve as the first point of contact for clients and visitors, greeting them with a professional and friendly demeanor.
- Manage incoming and outgoing calls, directing them to the appropriate departments and taking messages when necessary.
- Organize and manage schedules, including booking and managing appointments.
- Handle basic office management duties such as photocopying, filing, and managing office supplies.
- Operate office equipment, including printers, fax machines, and computers, ensuring they are maintained properly.
- Maintain a clean and organized front desk area to ensure a professional environment.
- Provide excellent customer service by addressing inquiries and resolving issues promptly and professionally.
- Handle sensitive information with confidentiality and discretion.
- Support the administrative team by completing tasks accurately and on time.
- Collaborate with other departments and team members to ensure smooth day-to-day operations.
- Assist with basic bookkeeping tasks and maintain records when necessary.
- Remain calm and composed in stressful situations, finding solutions and ensuring smooth operations.
- Stay updated on office procedures and policies to handle duties efficiently.
Requirements:
- High school diploma or equivalent; additional qualifications are a plus.
- Proven experience as a Front Desk Officer or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Familiarity with office equipment such as printers and fax machines.
- Strong customer service skills and interpersonal abilities.
- Ability to maintain a professional appearance and demeanor.
