Job Description/Requirements

Responsibilities:

  • Serve as the first point of contact for clients and visitors, greeting them with a professional and friendly demeanor.
  • Manage incoming and outgoing calls, directing them to the appropriate departments and taking messages when necessary.
  • Organize and manage schedules, including booking and managing appointments.
  • Handle basic office management duties such as photocopying, filing, and managing office supplies.
  • Operate office equipment, including printers, fax machines, and computers, ensuring they are maintained properly.
  • Maintain a clean and organized front desk area to ensure a professional environment.
  • Provide excellent customer service by addressing inquiries and resolving issues promptly and professionally.
  • Handle sensitive information with confidentiality and discretion.
  • Support the administrative team by completing tasks accurately and on time.
  • Collaborate with other departments and team members to ensure smooth day-to-day operations.
  • Assist with basic bookkeeping tasks and maintain records when necessary.
  • Remain calm and composed in stressful situations, finding solutions and ensuring smooth operations.
  • Stay updated on office procedures and policies to handle duties efficiently.




Requirements:

  • High school diploma or equivalent; additional qualifications are a plus.
  • Proven experience as a Front Desk Officer or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Familiarity with office equipment such as printers and fax machines.
  • Strong customer service skills and interpersonal abilities.
  • Ability to maintain a professional appearance and demeanor.
  • Attention to detail and problem-solving skills.
  • Ability to handle sensitive information with confidentiality.
  • Strong time management skills and the ability to follow instructions and procedures accurately.
  • Ability to work independently and as part of a team.
  • Flexibility to work in shifts if required.
  • Knowledge of office management and basic bookkeeping.
  • Positive attitude and willingness to learn.
  • Ability to handle multiple tasks simultaneously and remain calm in stressful situations.
