We seek a proactive Front Desk Officer/Administrative Secretary to manage daily operations, tenant relations, and administrative tasks. This role ensures smooth workspace operations, sales efforts, and community engagement. Ideal candidates are highly organized, customer-focused, and able to handle multiple responsibilities in a dynamic environment

Job Description/Requirements

Responsibilities:

Front Desk & Administrative Management:

  • Serve as the primary point of contact for all tenants, visitors, and external stakeholders.
  • Ensure all record-keeping, documentation, and administrative duties are strictly adhered to.
  • Manage office correspondence, scheduling, and document filing.
  • Troubleshoot minor facility-related issues and escalate when necessary.


Tenant & Community Engagement:

  • Foster a welcoming and professional environment for all tenants.
  • Handle tenant inquiries, complaints, and service requests efficiently.
  • Ensure that all tenant/resident needs are met, providing timely support and resolutions.


Sales & Occupancy Maximization:

  • Assist in marketing efforts to attract and retain tenants.
  • Conduct tours and presentations for potential tenants and clients.
  • Utilize effective sales techniques to maintain high occupancy levels.


Facility & Operations Management:

  • Oversee the day-to-day running of the workspace, ensuring smooth operations.
  • Maintain workspace aesthetics, cleanliness, and functionality.
  • Assist in coordinating events, workshops, or community-building initiatives.


Requirements:

  • Minimum HND in Office Administration, Secretarial Studies, Business Administration, or related fields.
  • At least 2 years of experience as an Administrative Secretary or similar role.
  • Strong proficiency in MS Office Suite (Word, Excel, PowerPoint) and database management.
  • Exceptional organizational, recordkeeping, and problem-solving skills.
  • Ability to liaise internally and externally on administrative matters with professionalism.
  • Excellent verbal and written communication skills.
  • Experience with appointment scheduling, customer service, and office equipment.
  • Strong interpersonal skills to engage with tenants and visitors.
  • Ability to work independently and take initiative in problem-solving.

Work Schedule & Location:

  • Monday - Friday, 8:00 AM - 6:00 PM (additional time may be required for events on weekday evenings and weekends).
  • Lagos (Victoria Island). Candidates must live within a reasonable commuting distance or be willing to relocate.
