Job Description/Requirements
Responsibilities:
Front Desk Management:
- Greet visitors, clients, and employees with a friendly and professional demeanor, creating a welcoming atmosphere.
- Manage incoming phone calls and emails, directing them to the appropriate departments or individuals.
- Maintain accurate records of visitor check-ins and issue badges as required, adhering to company policies.
Administrative Support:
- Schedule appointments, book meeting rooms, and maintain well-organized office calendars.
- Handle incoming mail and packages, ensuring timely sorting and distribution.
- Coordinate outgoing correspondence, including preparing packages and arranging courier services.
- Support administrative tasks and assist various departments when needed.
Customer Service:
- Address customer inquiries and resolve issues promptly, ensuring a positive experience.
- Provide accurate information about the company’s fintech and construction services or direct inquiries to the appropriate teams.
Office Coordination:
- Monitor and replenish office supplies, maintaining an organized and clean front desk area.
- Assist with general office tasks to support overall operations.
Compliance and Security:
- Enforce security procedures by verifying visitor credentials and ensuring adherence to company guidelines.
- Safeguard confidential information and maintain discretion at all times.
Requirements:
- Proven experience as a receptionist or in a customer-facing role, preferably within fintech, construction, or a similar dual-industry environment.
- Strong verbal and written communication skills, with excellent phone and email etiquette.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with office equipment.
- Outstanding organizational and multitasking skills, with a strong attention to detail.
- Familiarity with visitor management systems or customer relationship management (CRM) tools is a plus.
