Job Description/Requirements
We are seeking an experienced and detail-oriented Operations Associate to handle a variety of tasks including hotel rate loading, finance collections, and general administration. In this role, you'll support the team by managing schedules, coordinating travel, and overseeing internal and external communications.
Core Tasks:
- Hotel rate loading, finance collections, and general admin tasks
- Ad hoc tasks, file management, scheduling and calendar management, employee invoicing reminders, internal comms, email inbox management and client communications
- Travel booking, restaurant booking, coordinating travel logistics for team members and clients
- Serve as a contact between employees, clients, and external partners (client scheduling, questions, etc.)
- Prepare and edit correspondence, communications, presentations, reports, and other documents
- Coordinate meetings, set agendas, take minutes, and prepare follow-ups/action items
- Perform other ad-hoc tasks with limited instruction as needed
- Build and maintain SOPs as needed
- Assist with finance tracking and collections
- Assist with project management (track deadlines/milestones and coordinate to ensure success)
Must-Haves:
- 3+ years of experience as an Operations Associate or similar role
- Exceptional verbal and written communication skills
- Intermediate skills in Excel/Google Sheets
- 2+ years of experience with project management-related tasks and tools
- Intermediate skills with Google Suite (Sheets, Docs, Slides)
- Strong organizational and planning skills
- Excellent time management skills and ability to multitask and prioritize
- Background with task management tools like Notion and Monday.com for project management
- Ability to work EST
Nice-to-Haves:
- Experience using Zapier
- Experience with finance tracking systems like QuickBooks
- 1+ year's experience as an EA for chief executive (startup environment preferred)
