Job Summary

We are seeking a highly organized, proactive, and reliable Personal Assistant to support our executive/senior manager with day-to-day tasks and activities. The ideal candidate will possess excellent communication skills, attention to detail, and the ability to handle multiple responsibilities efficiently.

Job Description/Requirements

Responsibilities:

  • Calendar and Schedule Management: Organize and manage the executive's calendar, schedule appointments, meetings, and travel arrangements.
  • Communication: Act as the primary point of contact between the executive and internal/external stakeholders. Handle emails, phone calls, and other communications promptly and professionally.
  • Travel Coordination: Plan, book, and manage travel arrangements, including flights, accommodations, transportation, and itineraries.
  • Document Preparation: Prepare, edit, and proofread documents, reports, presentations, and correspondence as needed.
  • Meeting Coordination: Arrange and coordinate meetings, conferences, and events, including preparing agendas and taking minutes.
  • Task Management: Assist with personal and business-related tasks, ensuring all deadlines and commitments are met.
  • Research: Conduct research on various topics, provide data analysis, and present findings as required.
  • Errands and Ad-Hoc Tasks: Handle miscellaneous errands and tasks as requested by the executive, ensuring smooth day-to-day operations.


Requirements:

  • Experience: Previous experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
  • Communication Skills: Excellent written and verbal communication skills.
  • Organization: Strong organizational skills with the ability to multitask and prioritize workload.
  • Tech-Savvy: Proficiency in using office software (e.g., Microsoft Office, Google Suite) and scheduling tools.
  • Discretion and Confidentiality: Ability to handle sensitive information with the utmost confidentiality.
  • Problem-Solving: Strong problem-solving skills and the ability to think proactively and adapt to changing situations.
  • Time Management: Exceptional time management skills with a focus on meeting deadlines.
