Job Description/Requirements
Responsibilities
- Provide comprehensive administrative support, including managing schedules, appointments, and emails for executives or employers.
- Organize and maintain diaries, make appointments, and optimize time management.
- Book flights, accommodations, and arrange both domestic and international travel itineraries.
- Serve as the first point of contact by managing phone calls, correspondence, and inquiries on behalf of the employer.
- Prepare and distribute meeting agendas, take minutes, and follow up on action points from meetings.
- Draft, format, and proofread reports, presentations, and other critical documents.
- Handle budgeting and financial tasks, including processing invoices and managing expenses.
- Assist in organizing and managing small projects, ensuring deadlines are met.
- Conduct research on behalf of the employer for business, travel, or personal projects.
- Help in planning and organizing both personal and business-related events.
Requirements:
- A high school diploma is the minimum requirement, while a degree or diploma in business administration or a related field is advantageous.
- Prior experience in an administrative or secretarial role, preferably supporting senior management.
- Excellent organizational and time management skills with the ability to prioritize and multitask effectively.
- Strong verbal and written communication skills, with the ability to interact professionally with various stakeholders.
- High level of accuracy and attention to detail, particularly when handling documents, emails, or schedules.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and other relevant software for scheduling and documentation.
- Ability to manage sensitive information with a high level of confidentiality and professionalism.
- Adaptability to changing schedules, priorities, and last-minute requests.
- Proactive in anticipating needs and resolving issues.
- Willingness to work outside standard office hours when necessary.
