Job Description/Requirements

Responsibilities

  • Provide comprehensive administrative support, including managing schedules, appointments, and emails for executives or employers.
  • Organize and maintain diaries, make appointments, and optimize time management.
  • Book flights, accommodations, and arrange both domestic and international travel itineraries.
  • Serve as the first point of contact by managing phone calls, correspondence, and inquiries on behalf of the employer.
  • Prepare and distribute meeting agendas, take minutes, and follow up on action points from meetings.
  • Draft, format, and proofread reports, presentations, and other critical documents.
  • Handle budgeting and financial tasks, including processing invoices and managing expenses.
  • Assist in organizing and managing small projects, ensuring deadlines are met.
  • Conduct research on behalf of the employer for business, travel, or personal projects.
  • Help in planning and organizing both personal and business-related events.


Requirements:

  • A high school diploma is the minimum requirement, while a degree or diploma in business administration or a related field is advantageous.
  • Prior experience in an administrative or secretarial role, preferably supporting senior management.
  • Excellent organizational and time management skills with the ability to prioritize and multitask effectively.
  • Strong verbal and written communication skills, with the ability to interact professionally with various stakeholders.
  • High level of accuracy and attention to detail, particularly when handling documents, emails, or schedules.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and other relevant software for scheduling and documentation.
  • Ability to manage sensitive information with a high level of confidentiality and professionalism.
  • Adaptability to changing schedules, priorities, and last-minute requests.
  • Proactive in anticipating needs and resolving issues.
  • Willingness to work outside standard office hours when necessary.
