We are seeking a highly organized, efficient, and proactive Personal Assistant to provide comprehensive administrative support to our Managing Director. This role requires exceptional communication skills, a strong work ethic, and the ability to handle a wide range of tasks with discretion and professionalism.

Job Description/Requirements

Responsibilities:


  • Manage the MD's complex and ever-changing calendar, scheduling meetings, appointments, and travel arrangements.
  • Act as the primary point of contact for the MD, screening calls, emails, and visitors, and handling inquiries with tact and diplomacy.
  • Coordinate domestic and international travel logistics, including flights, accommodations, and visas.
  • Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy and attention to detail.
  • Organize and prepare for meetings, including preparing agendas, distributing materials, and taking minutes.
  • Process and track the MD's expenses, ensuring compliance with company policies.
  • Assist with special projects and initiatives as needed, conducting research, gathering information, and coordinating tasks.
  • Maintain strict confidentiality regarding sensitive information and matters related to the MD and the company.
  • Oversee the smooth operation of the MD's office, ensuring supplies are stocked and equipment is functioning properly.
  • Provide occasional personal assistance to the MD, such as running errands or scheduling personal appointments.


Requirements:

  • Bachelor's degree or equivalent experience
  • Proven experience as a Personal Assistant, preferably in the construction industry or a related field
  • Exceptional organizational and time-management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)  
  • Ability to work independently and as part of a team  
  • Strong problem-solving and decision-making skills
  • Ability to handle multiple tasks and prioritize effectively
  • Discretion and professionalism
