Job Description/Requirements
Responsibilities:
- Manage the MD's complex and ever-changing calendar, scheduling meetings, appointments, and travel arrangements.
- Act as the primary point of contact for the MD, screening calls, emails, and visitors, and handling inquiries with tact and diplomacy.
- Coordinate domestic and international travel logistics, including flights, accommodations, and visas.
- Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy and attention to detail.
- Organize and prepare for meetings, including preparing agendas, distributing materials, and taking minutes.
- Process and track the MD's expenses, ensuring compliance with company policies.
- Assist with special projects and initiatives as needed, conducting research, gathering information, and coordinating tasks.
- Maintain strict confidentiality regarding sensitive information and matters related to the MD and the company.
- Oversee the smooth operation of the MD's office, ensuring supplies are stocked and equipment is functioning properly.
- Provide occasional personal assistance to the MD, such as running errands or scheduling personal appointments.
Requirements:
- Bachelor's degree or equivalent experience
- Proven experience as a Personal Assistant, preferably in the construction industry or a related field
- Exceptional organizational and time-management skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to work independently and as part of a team
- Strong problem-solving and decision-making skills
- Ability to handle multiple tasks and prioritize effectively
