A Personal/Executive Assistant provides high-level administrative support to executives by managing schedules, coordinating meetings, handling correspondence, and ensuring the efficient operation of daily activities. This role requires exceptional organizational skills, discretion, and adaptability to a fast-paced environment.

Job Description/Requirements

Responsibilities:

  • Manage and maintain the executive’s calendar, scheduling meetings and appointments.
  • Coordinate travel arrangements, including booking flights, accommodations, and itineraries.
  • Handle correspondence, including emails, calls, and memos, on behalf of the executive.
  • Prepare reports, presentations, and meeting materials.
  • Serve as a liaison between the executive and internal/external stakeholders.
  • Organize and prioritize tasks to meet deadlines efficiently.
  • Assist in personal tasks and errands as required.
  • Maintain confidentiality of sensitive information.
  • Conduct research and provide insights to support decision-making.
  • Ensure the executive’s office operates smoothly by managing supplies and resources.


Requirements:

  • Proficiency in managing calendars, scheduling appointments, and coordinating travel arrangements.
  • Excellent written and verbal communication skills, with the ability to draft and edit correspondence, reports, and documents.
  • Ability to prioritize tasks, manage multiple projects, and maintain a high level of organization and attention to detail.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Familiarity with Google Drive, Docs, Sheets, and Slides.
  • Ability to manage email correspondence, including filtering, prioritizing, and responding to emails.
  • Familiarity with scheduling tools like Calendly, ScheduleOnce, or Google Calendar.
  • Basic understanding of legal concepts, terminology, and procedures.
  • Familiarity with Nigerian laws, regulations, and court procedures.
  • Ability to prepare and file court documents, and manage case files.
  • Ability to work under pressure, prioritize tasks, and meet deadlines.
  • Ability to think critically, analyze problems, and provide solutions.
  • Ability to build and maintain relationships with colleagues, clients, and stakeholders.
  • Ability to adapt to changing circumstances, priorities, and deadlines.
  • A degree in Law, Business Administration, or a related field.
  • Certifications like Certified Administrative Professional (CAP) or Certified Executive Secretary (CES) can be an added advantage.
