The Secretary will be responsible for providing administrative support to ensure the efficient operation of the office. The role involves handling communication, organizing meetings, managing schedules, preparing documents, and performing general office tasks. Job Description/Requirements
Responsibilities:
Administrative Support:
- Provide general administrative support to the management team and other departments.
- Maintain office records and files, ensuring they are up-to-date and easily accessible.
- Handle correspondence, including emails, phone calls, and mail.
- Assist in the preparation of reports, presentations, and other business documents.
Scheduling & Calendar Management:
- Manage the calendar of the Operations Manager and other senior staff, scheduling meetings, appointments, and events.
- Coordinate meeting rooms and prepare necessary materials for meetings.
- Remind and follow up on scheduled appointments, ensuring timely attendance.
Communication Management:
- Serve as the first point of contact for clients, suppliers, and employees.
- Draft, proofread, and send official communications on behalf of the company.
- Handle inquiries and redirect them to appropriate departments as needed.
Document Preparation & Filing:
- Organize and maintain both electronic and paper filing systems.
- Prepare and edit documents, such as invoices, purchase orders, contracts, and reports.
- Ensure proper documentation and filing of company records and agreements.
Office Coordination & Support:
- Order office supplies and maintain stock levels.
- Coordinate the repair and maintenance of office equipment.
- Assist in organizing company events or team-building activities.
- Oversee office cleanliness and overall organization.
- Assist with staff scheduling and payroll submission when required.
- Perform other administrative tasks as requested by the management team.
Requirements:
- Minimum of an HND in Business Administration, Secretarial Studies, or a related field.
- A higher degree or certification in office management or administration is a plus.
- At least 3-5 years of experience in a similar administrative or secretarial role.
- Strong verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Knowledge of office management systems and procedures.
- Excellent organizational and multitasking abilities.
- Ability to prioritize tasks and work under pressure.
- Attention to detail and accuracy.
- Typing skills: 100 words per minute

Remuneration: NGN 150,000 - 200,000
