Job Summary

We are looking for a highly organized and efficient Secretary to support the smooth day-to-day operations of our garment factory. The ideal candidate will handle administrative tasks, facilitate communication within the factory, and assist in document management, scheduling, and inventory support. This role is essential to ensuring our production teams have the support they need to meet their targets.

  • Minimum Qualification : High School (S.S.C.E)
  • Experience Level : Entry level
  • Experience Length : 2 years

Job Description/Requirements

Responsibilities:

  • Manage phone calls, emails, and correspondence in a timely and professional manner.
  • Maintain an organized filing system for easy retrieval of documents.
  • Assist in preparing and editing reports, presentations, and documents for factory management.
  • Arrange and schedule meetings, appointments, and activities within the factory.
  • Coordinate with department heads to ensure workflow runs smoothly across all teams.
  • Organize and maintain factory files, including production records, supplier agreements, and employee documentation.
  • Regularly update records, logs, and reports to reflect current status.
  • Assist in tracking and documenting raw material inventory and supplies.
  • Track employee attendance, process leave requests, and maintain HR records.
  • Assist in payroll documentation, coordinating with HR for accurate and timely processing.
  • Greet visitors, clients, and business partners, creating a welcoming environment.
  • Assist in handling client inquiries and provide general information as needed.
  • Prepare regular reports on factory operations, production progress, and inventory status for management review.
  • Facilitate clear communication between departments to resolve any production or administrative challenges.





Requirements:

  • Proven experience as a secretary or administrative assistant, preferably in a manufacturing or production setting.
  • Excellent organizational and time-management skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with office equipment.
  • Strong written and verbal communication skills.
  • Ability to multitask and prioritize tasks effectively.
  • High attention to detail and problem-solving skills.



Preferred Skills:

  • Experience with inventory management software is a plus.
  • Basic knowledge of HR practices and payroll processing.
  • Familiarity with garment manufacturing processes is an added advantage.



Remuneration: NGN 70, 000
