Job Summary
The Team Lead Export Operations oversees and coordinates all aspects of export activities within the organization. This role is responsible for ensuring efficient export operations, compliance with international trade regulations, and timely completion of export orders.
Job Description
Operations Management:
- Plan and oversee export operations to ensure timely processing and shipment of orders.
- Coordinate with internal departments (Warehouse, Sales, Finance) to ensure smooth execution of export orders.
- Analyse shipment plans and select optimal transportation modes and routes based on cost and transit time considerations.
- Manage the preparation and submission of export documentation including commercial invoices, packing lists, and certificates of origin.
- Ensure compliance with export regulations and trade policies of destination countries.
Export Documentation and Compliance:
- Review and approve export documentation such as commercial invoices, packing lists, certificates of origin, and shipping instructions.
- Ensure compliance with international trade regulations, customs procedures, and export control laws for each destination country.
- Liaise with customs agents and regulatory authorities to obtain necessary permits, licenses, and clearances.
Shipment Coordination:
- Coordinate with freight forwarders, carriers, and logistics providers to arrange transportation and monitor the progress of shipments.
- Track shipments and address any issues or delays to ensure timely delivery to customers.
- Optimize shipment routes and transportation modes to minimize costs and improve delivery efficiency.
Customer Interaction:
- Serve as the primary point of contact for export customers regarding order status, shipment updates, and documentation requirements.
- Address customer inquiries and resolve issues related to export orders to maintain high customer satisfaction.
Team Leadership and Development:
- Lead and develop a team of export operations professionals, providing guidance and support to enhance their skills and performance.
- Allocate tasks and responsibilities among team members to ensure efficient workflow and adherence to deadlines.
- Set clear goals and objectives for team members, monitor progress, and conduct performance evaluations.
- Promote a collaborative and positive work environment that encourages teamwork, innovation, and continuous improvement.
- Provide training and development opportunities to enhance team members' skills in export operations.
Quality Assurance and Compliance:
- Implement quality control measures to ensure exported goods meet regulatory standards and customer specifications.
- Monitor and audit export transactions to ensure accuracy and compliance with regulatory requirements.
Vendor and Partner Management:
- Liaise with external service providers including freight forwarders, customs brokers, and logistics partners.
- Negotiate service agreements and monitor performance to ensure service level agreements are met.
Reporting and Analysis:
- Prepare and present regular reports on export activities, including shipment volumes, compliance issues, and operational performance to the Management.
- Analyse export data and trends to identify opportunities for process improvements, cost savings, and operational efficiencies.
Educational Requirement
- Bachelor’s degree in business administration, International Trade, Logistics, or a related field.
Experience Requirement
- Minimum of 5 years of experience in export operations or international trade, with at least 2 years in a leadership or supervisory role.
- Proven track record of managing export operations and coordinating cross-functional teams.
- Proficiency in relevant software and tools used in export operations can be beneficial for this role
