Job Summary

We are seeking a highly experienced Executive Assistant with at least 10 years of expertise in providing top-tier administrative support to senior executives. The ideal candidate will not only possess exceptional organizational skills and attention to detail but also demonstrate creativity and the ability to bring fresh initiatives to support business goals. You will act as a strategic partner, ensuring the smooth operation of the executive office while contributing innovative ideas and solutions.

Job Description/Requirements

Responsibilities:

  • Provide comprehensive administrative support, including managing calendars, scheduling meetings, and organizing travel arrangements.
  • Handle all communication on behalf of the executive, including emails, phone calls, and correspondence, ensuring timely and professional responses.
  • Proactively anticipate needs, identify potential challenges, and bring creative solutions and initiatives to improve office efficiency and effectiveness.
  • Organize and prepare materials for meetings, take detailed minutes, and ensure the follow-up on action items to ensure execution of decisions.
  • Lead initiatives that drive productivity and innovation, while managing projects, ensuring deadlines are met and deliverables achieved. .
  • Organize internal and external events, such as conferences, team meetings, and client engagements, ensuring a creative and seamless experience.
  • Draft, edit, and proofread reports, presentations, and other important documents, bringing a creative touch where applicable.
  • Act as a point of contact between the executive and internal/external stakeholders, maintaining strong relationships and ensuring effective communication.
  • Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
  • Oversee office supplies, coordinate with vendors, and ensure the smooth operation of the executive’s office.
  • Bring fresh ideas and initiatives to enhance business processes, executive productivity, and team engagement.


Requirements:

  • A minimum of 10 years of experience as an Executive Assistant or in a similar role.
  • Strong organizational and multitasking abilities.
  • Demonstrated ability to think creatively and proactively.
  • Excellent written and verbal communication skills.
  • High level of discretion, professionalism, and confidentiality.
  • Ability to bring innovative ideas and contribute to the success of the team.
