Job Summary
New Beginnings Day Nurseries is seeking a highly organized and proactive Executive Assistant (EA) to support the Director in managing administrative and operational functions within the early years sector. The EA will ensure efficiency by handling daily tasks, coordinating projects, and acting as the key point of contact between the Director and internal/external stakeholders.

Job Description/Requirements
Responsibilities:
Executive & Administrative Support:
- Manage the Director’s calendar, schedule meetings, and coordinate appointments.
- Screen emails, prioritize correspondence, and draft responses as needed.
- Prepare reports, presentations, and other business documents.
- Handle confidential information with discretion.
Operations & Business Support:
- Support the Director in implementing policies and procedures across the nurseries.
- Assist with tracking business performance metrics, staff schedules, and compliance deadlines.
- Liaise with nursery managers to ensure smooth daily operations.
- Monitor customer inquiries and feedback to support service improvement strategies.
Compliance & Regulatory Support:
- Maintain and update records in line with Ofsted and EYFS regulations.
- Track key compliance deadlines (e.g., DBS checks, staff training renewals, health & safety requirements).
- Assist in preparing reports and audits for regulatory bodies.
Staff Coordination & HR Administration:
- Support recruitment by scheduling interviews and managing applicant tracking.
- Organize onboarding processes for new hires, including contract administration.
- Assist in maintaining HR records, including attendance, training logs, and performance appraisals.
Financial & Procurement Support:
- Process invoices, monitor expenses, and maintain financial records.
- Assist in budget tracking and reporting.
- Oversee procurement of office supplies, equipment, and nursery resources.
Communication & Stakeholder Management:
- Serve as the first point of contact for inquiries directed to the Director.
- Coordinate communications between parents, nursery managers, and external partners.
- Organize internal meetings, take minutes, and follow up on action points.
Digital & IT Support:
- Manage digital tools for collaboration (e.g., Trello, Canva, Google Workspace, Zoom, Microsoft Teams).
- Oversee document storage, retrieval, and organization using cloud-based systems.
- Assist in maintaining the website, social media updates, and online parent communication platforms. Person Specification
Requirements:
- 3 years of proven experience in an Executive Assistant, PA, or senior administrative role.
- Strong organizational, time management, and problem-solving abilities.
- High level of discretion and professionalism in handling confidential matters.
- Proficiency in office tools (Google Workspace, Microsoft Office, Asana, Trello, Notion, Canva, Calendly).
- Excellent verbal and written communication skills.
- Ability to work independently and take initiative.
- Experience in the early years sector or education administration.
- Knowledge of EYFS standards and Ofsted requirements.
- Experience in HR administration and financial record-keeping.
- Familiarity with CRM systems and workflow automation tools (Zapier, HubSpot, Asana, Zoho CRM).

Work Conditions:
- The role is currently remote but will transition to an onsite position in Lekki, where an office space and accommodation have already been secured.
- This is a Monday – Friday role, with potential growth opportunities as the team expands.

Location: Chevron Drive, Lekki
Remuneration: NGN 200,000 - 250,000
