The qualified candidate will be the first point of contact for clients, visitors, and employees. The ideal candidate will be responsible for managing the front desk operations, handling inquiries, providing information, and ensuring a professional and welcoming atmosphere.

Job Description/Requirements

Responsibilities:

  • Greet and welcome clients, suppliers, contractors, visitors and employees with a professional and friendly demeanor.
  • Manage the front desk area, ensuring it is clean, organized, and presentable at all times.
  • Answer and direct phone calls to the appropriate departments or personnel.
  • Manage the general email inbox, responding to inquiries or forwarding them to the relevant staff members.
  • Register and manage visitor access, ensuring they sign in and out according to company procedures.
  • Provide visitors with necessary information and direct them to their appointments.
  • Assist with various administrative tasks, including filing, photocopying, and data entry.
  • Schedule and coordinate meetings, appointments, and conference room bookings.
  • Receive, sort, and distribute incoming mail and packages.
  • Arrange for outgoing mail and courier services as required.
  • Address client and visitor inquiries promptly and professionally.
  • Provide information about the firm’s services, projects, and team members.
  • Ensure compliance with security protocols, including visitor management and access control.
  • Report any security or safety issues to the Office Manager.
  • Monitor and maintain office supplies inventory, placing orders when necessary.
  • Ensure the front desk area is stocked with necessary supplies and materials.


Requirements:

  • Minimum BSc/HND additional qualifications in administration or customer service are a plus.
  • Proven experience as a receptionist, front desk officer, or in a similar role.
  • Proficient in Microsoft Office Suite and office management software.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Professional appearance and attitude.
  • Ability to handle a busy front desk with efficiency and poise.training sessions, and compliance audits.
  • Prepare and submit regular safety reports to management.
