Job Summary

The Personal Assistant (P.A) will offer personalized support to the executive by managing their daily schedule , handling administrative tasks, and facilitating communication. The P A. will act as a gate keeper , ensuring that the executives' time is effectively utilized , and assisting with both business and personal tasks as needed.

  • Minimum Qualification : Diploma
  • Experience Level : Entry level
  • Experience Length : 1 year

Job Description/Requirements

Responsibilities:

Calendar Management.

  • Organize and Maintain the executive's schedule, including meetings, appointments, and travel arrangements.
  • Plan and coordinate events, meetings, and conference calls.
  • Remind the executive of important tasks, deadlines, and events.


Communication:

  • Manage all incoming and outgoing communications, including phone calls, emails, and written correspondence.
  • Draft and edit emails, letters, reports, and presentations
  • Act as point o:f contact for the executive, handling inquiries and relaying messages.


Travel and Logistics:

  • Arrange domestic and international travel including flights, accommodation, and transportation
  • Prepare detailed itineraries and handle any travel-related issues that arise.


Administrative Support:

  • Perform general administrative tasks, such as filing, data entry,and document management.
  • Handle expense reports, invoicing, and budget tracking
  • Assist with preparing materials for meetings, including agendas and reports.


Project Assistance:

  • Support ongoing projects and initiatives , tracking progress and ensuring deadlines are met.
  • Conduct research and provide insights on relevant topics or business matters.


Personal Errands:

  • Run personal errands and perform tasks outside of typical office responsibilities as needed.
  • Maintain confidentiality with sensitive personal and professional information.


Requirements:

  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to multitask, prioritize, and manage time efficiently.Discretion and Trustworthiness with sensitive information
  • Proactive,detail-oriented , and have a strongĀ  sense of responsibility to effectively support the executive and ensure smooth operations


Work Conditions:

  • Ability to work flexible hours and adapt to changing schedules
  • May be required to work remotely, depending on the executive's needs.
