Job Description/Requirements
Responsibilities:
- Manage the CEO’s schedule, including appointments, meetings, travel arrangements, and events across multiple time zones.
- Coordinate internal and external meetings, ensuring all logistics, materials, and follow-ups are handled efficiently.
- Screen and prioritize communications, including emails, calls, and meeting requests, ensuring timely and appropriate responses.
- Serve as the first point of contact between the CEO and internal teams, external stakeholders, and partners, maintaining professionalism in all interactions.
- Prepare and edit correspondence, reports, presentations, and other documents on behalf of the CEO.
- Track and follow up on projects, tasks, and strategic initiatives to ensure deadlines and goals are met.
- Handle confidential information with the utmost discretion and integrity.
- Maintain organized systems for document management, contact databases, and executive records.
- Support the CEO with personal tasks and errands when necessary to ensure overall efficiency.
- Liaise with departments across the organization to ensure information flows smoothly and operational support is provided when needed.
- Monitor budgets, prepare expense reports, and manage procurement needs related to the CEO’s office.
- Conduct research and provide briefing materials, summaries, and reports as required.
- Identify inefficiencies in administrative processes and implement improvements.
- Represent the CEO in meetings and engagements when required, taking notes and providing timely updates.
- Undertake any additional responsibilities as delegated by the CEO.
Requirements:
- Bachelor’s degree in Business Administration, Management, or a related field. Professional certifications are a plus.
- Minimum of 2-3 years of experience supporting C-level executives in a Personal Assistant or Executive Assistant capacity.
- Exceptional organizational and time-management skills with the ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills.
- Proactive, self-motivated, and capable of working independently.
- Strong problem-solving abilities and a high degree of initiative.
- Absolute discretion and professionalism in handling confidential matters.
- Strong interpersonal skills and ability to interact with people at all levels with confidence and tact.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with modern productivity tools.
- Ability to adapt quickly to changing priorities and a fast-paced work environment.
- High level of emotional intelligence and a calm, solution-oriented mindset.
